The Shuttle Social (“we”) runs social badminton sessions in London and this website. We are responsible for your personal data. Questions or requests: theshuttlesocial@gmail.com.
What we collect and why
- Booking a session: your name, email, optional phone number, the session and number of spaces, and payment status. We need these to take your booking, email your confirmation, check you in and contact you if a session changes (to perform our contract with you). Card payments are handled by Stripe; we never see or store your card details.
- Waitlist, releasing or transferring a space, and credits: your name, email and the session, so we can offer spaces and give credit (contract).
- Live sessions on the night: the name and email you enter (the email links the night to your booking and My portal, and is never shown to other players), the level you pick, your court, partners, opponents and scores, and a rating worked out from your results, to run fair, well-matched games (our legitimate interest in running the session, and yours in good games). If you've played before (matched by your account or the email you register with), your rating starts from where your last session ended. On the night, organisers compare who has registered with the names on that session's bookings, so they can help anyone who hasn't registered yet. A 4-digit PIN lets you back into your page; we store only a scrambled version of it, never the PIN itself.
- Sit-out crews and Social Bingo (optional): which crew you were in and the prompt, when you tapped “We did it”, your bingo card and who you found for each square, and the Social Points they earn, so we can run the games and reward regulars with a free session (our legitimate interest, and yours in meeting people). Other players see your name in your crew and, at the end of the night, among the top three on the TV board. Your points total is shown only to you. You can skip crews and bingo any time from your page. Kept for 24 months, then deleted.
- A TSS account (optional): your email, name and level, so you can sign in and see your bookings and games (contract). Showing you on the public leaderboard happens only if you turn it on (consent), and you can turn it off at any time.
- Forms on theshuttlesocial.com (contact, Join us applications and the suggestions box): your name, email and what you tell us, so we can reply or consider your application (for Join us, also your answers, the areas you'd like to help with and where in London suits you). You tick a box to agree before sending; suggestions can be sent anonymously. Each form is emailed to our inbox. Join us applications and suggestions are also kept in our admin page so the team can review them. You're only added to our newsletter if you tick that box too. We note your IP address for up to 1 month to stop spam.
- Joining our WhatsApp community (theshuttlesocial.com/join): your first and last name, email, mobile number and how you heard about us, so we can email you a copy of the welcome message, keep spam out of the community and see how people find us (consent). We check that the email address can receive mail and the number is a real mobile; we don't call or text it. WhatsApp itself is run by Meta, under its own privacy policy.
- Welcome offer: if you use the welcome code, we record your email and booking reference so the offer is used once per person.
- Newsletter: your email (and name, if you gave it), where you signed up and when, so we can send you news about new sessions and the club, exclusive discounts and early access to sessions. You're added if you tick “Send me The Shuttle Social newsletter” on one of our forms, sign up on theshuttlesocial.com or turn it on in My portal (consent). If you book or join a waitlist, we add you unless you tick “No thanks” on that form (UK law allows this for customers, about our own sessions). Every newsletter has an unsubscribe link, and you can also turn it off in My portal or email us.
- Other emails: booking confirmations, sign-in codes and messages about sessions you booked. These aren't marketing and arrive whether or not you get the newsletter.
We only collect what these need. We don't collect your date of birth, address or anything about your health.
Who can see what
Other players see your first name (and last initial if two people share a name), your court and your scores. Your rating and level are shown only to you and the organisers, unless you join the public leaderboard, where other players who have also joined can see your rating.
Who we share it with
Only the services that run the site, each under contract and only for that purpose:
- Stripe: payments and refunds.
- Supabase: our database and sign-in.
- Vercel: hosts the website.
- Resend: sends our emails, including the newsletter.
- Google (Gmail): our email inbox, where messages from the website forms arrive.
- Google Maps: the venue map on the booking page is loaded from Google, which may set its own cookies when it loads.
We never sell your data or share it with advertisers.
Cookies and storage on your device
We use no advertising or tracking cookies. We use only what the site needs to work: a cookie that remembers which player you are on the night of a live session (it expires about 12 hours later), your sign-in if you have a TSS account, and, if you choose, your booking details saved on your device so you don't retype them. Our page statistics count page views and presses of “Book now”, with the page and where the visit came from (for example, a link on our Instagram), without recording who you are or storing anything on your device. The Google map is described above.
How long we keep it
- Bookings and payments: 6 years, because UK tax law requires it. After that your name, email and phone are deleted automatically; only the anonymous amounts stay.
- Waitlist entries: 1 year, then deleted automatically.
- WhatsApp join details: 12 months, then deleted automatically.
- Welcome offer records: kept with your booking (6 years), then deleted.
- “Manage my booking” email links and “find my booking” attempts (which record your IP address, to stop people guessing emails): 1 month.
- Website form messages: in our email inbox only as long as we need them to reply or to organise volunteering, then deleted. Join us applications and suggestions in our admin page are deleted automatically after 12 months.
- TSS accounts: while you use them. After 3 years with no sign-in, booking or session, the account is deleted automatically and your live-session results become “Former player”.
- Live-session results without an account: kept as the record of that session. Ask us and we'll replace your name with “Former player”.
- Failed PIN attempts: 1 day.
- Crews, bingo and Social Points: 24 months, then deleted automatically. A free session you've earned is kept as a credit until it's used or expires.
- Newsletter: until you unsubscribe. After that we keep your email marked “unsubscribed”, so a later booking never signs you up again. Ask us, or delete your account, and we'll delete it completely.
Your rights
You can ask for a copy of your data, ask us to correct it, delete it, or stop using it, and object to how we use it. If you have an account, My portal lets you download your data and delete your account yourself. Deleting your account removes your sign-in and account, and your live-session results become “Former player” so other people's results stay correct. Payment records are kept for the 6 years the law requires. For anything else, email theshuttlesocial@gmail.com; we'll reply within one month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk). We'd appreciate the chance to sort it out first.
